What is a WhatsApp CRM?

What a WhatsApp CRM does, how it connects to WhatsApp and what Indian sales teams should check before choosing one.

WhatsApp CRM

A WhatsApp CRM is a CRM connected to your business WhatsApp number, so each chat is tied to a contact, owner and deal.

WhatsApp CRM in plain words

A WhatsApp CRM keeps customer chats and sales records in one place. When a lead messages your business number, the chat lands on that person's contact record. The record shows who owns the lead, which deal it belongs to and what happens next.

Without one, chats often sit on salespeople's phones. Managers cannot see who replied or what was promised, and a deal can stall without anyone noticing.

The app, the API and a WhatsApp CRM

The WhatsApp Business app and the WhatsApp Business Platform, or API, are Meta's products. A WhatsApp CRM is software that connects to the platform.

What a CRM adds to WhatsApp

A CRM turns each chat into a lead that someone is responsible for. Most add these:

  • One record per customer. Chats, notes and form enquiries sit on the same contact.
  • An owner for every lead. New chats are assigned, so nobody waits for someone else to reply.
  • Deals and stages. Each chat links to a deal, so you can see where every sale stands.
  • The lead's source. You can tell whether a lead came from an ad, your website or a referral.
  • Shared access. Several people work from one business number, with roles deciding who sees what.

Some tools call a tagged inbox a CRM. Tags help you sort chats, but a CRM also tracks each deal through its stages, with a value, an owner and a next step.

How it connects

A WhatsApp CRM connects to your business number through Meta's WhatsApp Business Platform, either directly or through a provider. Meta's Cloud API sends your messages, and passes replies and delivery updates back to the CRM. Meta charges for each delivered message, at rates that depend on the message's category.

Rules every WhatsApp CRM works within

Meta's rules apply whichever CRM you choose, so the CRM should help your team follow them.

  • Templates after 24 hours. You can reply freely within 24 hours of a customer's last message. After that, you can only send templates Meta has approved.
  • Opt-in first. Meta requires opt-in before you message someone. It must name your business and say the person agrees to receive messages.
  • Messaging limits. A new business portfolio can message 250 different customers in 24 hours outside the service window. The limit rises as you verify your business and keep quality high.
  • Category and cost. In India, a marketing message costs ₹0.8631 and a utility message ₹0.115. Meta can move a promotional utility template to marketing.

Our guide to the WhatsApp Business API in India covers these rules in more detail.

What to look for

Ask these questions before you choose a WhatsApp CRM:

  1. Does it connect through Meta's official WhatsApp Business Platform?
  2. Can several people reply from one number, with a clear owner for each chat?
  3. Does each chat sit on the contact record, next to the deal and its stage?
  4. Does it stop free-form replies after 24 hours and let you send an approved template instead?
  5. Does it record opt-in and opt-out on each contact?
  6. Does it keep each lead's source, including click-to-WhatsApp ads?
  7. Who pays Meta's message charges, and does the CRM add a markup?
  8. Is it billed in rupees, with GST invoices?

Superlane's WhatsApp inbox today

Superlane, the CRM we build at Growth Escalators, has a shared WhatsApp inbox built in next to the sales pipeline. Each chat follows its contact's owner, and notes sit on the contact record. Once the 24-hour window closes, the inbox refuses free-form replies and asks for a template.

Consent is recorded on each contact, and a STOP reply on WhatsApp is handled. A lead who tapped a click-to-WhatsApp ad keeps the ad's details on their record.

Connecting WhatsApp numbers for new workspaces is coming once Meta completes its app review, so it is not open to every business yet. Superlane does not send WhatsApp broadcasts, files or chatbot flows today. Join the waitlist for early access, opening in Jaipur first, with a 14-day free trial from when your workspace is ready.

Common questions

Is the WhatsApp Business app a CRM?

No. Meta describes the app as a tool for small businesses chatting one-on-one, with labels, quick replies and a catalogue. A CRM adds contact records, owners and a pipeline of deals.

Does a WhatsApp CRM need the WhatsApp Business API?

Yes, if the CRM is to send and receive WhatsApp messages itself. Meta offers the WhatsApp Business Platform, often called the API, for linking WhatsApp to CRM and marketing systems.

Can I keep using the WhatsApp Business app with a CRM?

Sometimes. Meta lets providers connect a WhatsApp Business app number to the platform, so you can keep chatting one-to-one in the app. Ask your provider whether it supports this.

Does Superlane have a WhatsApp CRM?

Superlane has a shared WhatsApp inbox built in next to its sales pipeline. Connecting WhatsApp numbers for new workspaces is coming once Meta completes its app review.
