Lead response time calculator

Paste the times your leads arrived and when your team first replied. See your typical response time, how many leads got a reply within your target, and what the slow ones may be costing you.

Measure your response time

Paste one lead per line: when the lead arrived and when your team first replied, or the minutes it took.

Dates are read day first, as in 30/10/2026. With no date, a reply time earlier than the lead time counts as the next day.

Paste at least one lead to see your response time.

What slow replies may cost you

Uses only your numbers. Compare how often leads buy when you reply within your target with how often they buy when you reply later.

Fill in all five numbers to see the estimate.

How to use it

  1. Pick 30 to 50 recent leads. Take them from one source, such as Meta lead ads, or from all sources together.
  2. Note two times for each lead: when it arrived, and when someone first replied by call, WhatsApp or email.
  3. Paste them, one lead per line, and set your reply target.
  4. Add your numbers for the cost estimate: leads a month, how often leads buy when you reply on time and when you reply late, and your average sale.

Formats the calculator reads

  • Two times: 10:02, 10:40 or 6:45 pm, 9:30 am. With no date, a reply time earlier than the lead time counts as the next day.
  • Dates and times: 30/10/2026 18:45, 31/10/2026 09:30. Dates are read day first, the way they are written in India.
  • Minutes or longer: 12, 12 min, 1h 30m or 2 days.

Rows copied from a spreadsheet work too, as long as each row has the lead's time first and the reply's time second. The calculator tells you which lines it could not read.

How to read your results

  • Median first reply is the middle value: half your leads waited less, half waited more. It is the fairest single number for how a typical lead is treated.
  • Average is pulled up by a few very slow replies. A large gap between the average and the median means some leads wait far too long.
  • Slowest 10% waited at least shows your worst cases, such as enquiries that came in at night or over a weekend.
  • Answered within your target is the share of leads that got a first reply in time. Track this number every week.

Then split your leads by source and by salesperson, and keep working hours apart from nights and Sundays. One slow source or one overloaded person often explains most of the delay.

Where the cost estimate comes from

The estimate uses only the numbers you enter, with no outside benchmarks. It works out how many sales you would add if the leads you answered late bought as often as the ones you answered on time:

leads a month × share answered late × (on-time buying rate − late buying rate) × average sale value

Take a property broker with 400 leads a month who answers 40% of them late. If 8% of on-time leads buy and 4% of late ones do, the gap is 6.4 sales a month. At ₹60,000 a sale, that is ₹3,84,000 a month, or ₹46,08,000 a year.

To find your two buying rates, look back over three months. Compare the leads that got a reply within your target with the rest, and count how many of each bought.

Ways to reply faster

  • Give every lead an owner the moment it arrives, so nobody waits for someone to forward it.
  • Keep a ready first reply for each lead source, so the first message takes seconds to send.
  • Cover nights and Sundays with an acknowledgement that says when a person will reply, then keep that promise.
  • Review the slowest replies every week, by source and by salesperson.

Our guide to speed to lead covers each of these, and lead leakage covers the other gaps where enquiries get lost.

Response time in Superlane

Superlane does not measure response time for you yet, so this calculator is the way to check it today. What it does is make every lead someone's job from the start.

A lead from your website form lands in your pipeline with its source, and goes to the next salesperson in turn. A repeat enquiry from the same person stays on one record. See how lead capture works.

Common questions

What is a good lead response time?

As fast as your team can send a useful reply. Set a target for each lead source, such as 5 minutes during working hours, and check it every week.

Why does the calculator show the median as well as the average?

A few very slow replies pull the average up. The median shows how a typical lead is treated, and the slowest 10% shows how long your worst cases waited.

Where do I find my response times?

In your CRM's export, or by noting the time of each new enquiry and of your first reply in WhatsApp, email or your call log. Thirty to fifty recent leads are enough to start.

Do you store the times I paste?

No. The calculator runs in your browser, and nothing you paste or type is sent to Superlane.
